The handover between airport assistance and your hotel transfer is where most Bali arrivals go wrong, and the fix is to book both under one coordinator so a single person tracks the flight, holds the driver, and owns a written meeting point. When the greeter and the car are booked separately, nobody is responsible for the gap between them, and that gap is exactly where a delayed flight turns into a missing driver.
We are an independent airport assistance company at I Gusti Ngurah Rai International Airport. We are not an airline, an airport operator or a government agency. This page explains how the handover works, what to arrange in advance, and what remains outside anyone’s control.
Why does the handover fail so often?
Customs is the final checkpoint before the public arrivals hall at DPS, so passengers emerge into a busy meeting area with all their luggage reassembled at once, alongside everyone else from the same arrival bank. A driver holding a sign in that crowd is easy to miss, and a passenger scanning for a name they have never seen before is easy to walk past.
Add a delayed flight and the failure becomes structural rather than accidental. A driver booked separately has no reliable way of knowing you cleared late, and a greeter has no authority to hold a car they did not arrange. Two suppliers, two schedules, no shared record. The arrival hall is simply where that mismatch becomes visible.
What does a coordinated handover look like?
Assistance and vehicles are both scheduled against your flight number, which is what allows one delay to move both at the same time instead of only one of them. A properly coordinated arrival follows a fixed sequence.
- The flight is tracked against the number in your booking, and the driver is briefed on the actual landing time rather than the timetable.
- The greeter meets you at the agreed point and stays with you through the arrival formalities.
- Baggage is collected with a trolley or porter, and oversized items are matched to the vehicle booked.
- You are escorted through the customs checkpoint into the arrivals hall.
- The greeter takes you to the driver at a written meeting point instead of leaving you to search.
- Luggage is loaded, the destination is confirmed aloud, and the greeter only leaves once the car is moving.
That combined arrangement is set out on the hotel transfer handoff dps page. Where the arrival involves a client, a group or a schedule that cannot slip, the premium arrival service bali option adds more staff and more advance coordination to the same handover.
How long is the drive from the airport?
DPS sits in Tuban in the south of Bali, close to Kuta, so southern destinations are geographically near while northern and eastern ones are not. Distance, however, is a poor predictor of time on Bali’s roads: journey duration varies substantially with traffic, time of day, ceremonies and weather, and no honest provider quotes a fixed figure.
| Destination area | Relative distance from DPS | Planning note |
|---|---|---|
| Kuta, Legian, Tuban | Closest | Short hop, traffic still variable |
| Jimbaran, Nusa Dua | Near, southern peninsula | Usually the most predictable run |
| Seminyak, Canggu | Moderate | Congestion is the main factor |
| Sanur, Denpasar | Moderate | Crosses the city fringe |
| Ubud | Inland, longer | Plan a rest stop with children |
| North and east coast | Longest | Consider breaking the journey |
What should you confirm before you fly?
A greeter is allocated to one flight number and one date, and so is a vehicle, which means every detail that changes the staffing or the car has to be known in advance rather than discovered at the kerb. The checklist below is what we ask for, and it is worth confirming with any provider you use.
- Flight number, arrival date and scheduled landing time, so both the greeter and the driver are scheduled correctly.
- Exact number of passengers, including children, and the ages of any child needing a seat.
- Number of checked bags plus any surfboards, golf bags, bicycles or dive gear, since these determine the vehicle size.
- The full accommodation name and address, written out, not just an area name.
- A mobile number that will be switched on after landing.
- Whether anyone in the party has reduced mobility or needs a slower pace.
What can still go wrong?
Immigration officers control every entry check, so no private company can promise a clearance time, and nobody can promise a road journey time in Bali either. What a coordinated booking removes is the avoidable failure: the driver who left, the vehicle too small for the boards, the meeting point nobody agreed, the passenger walking in circles with a trolley. Treat any provider guaranteeing door-to-door timing as unrealistic. Also confirm your own entry requirements through official Indonesian government sources before travelling, because a document problem at the border affects the whole chain and sits outside our hands entirely.
Frequently asked questions
Will the driver wait if my flight is delayed?
When the assistance and the vehicle are booked together, the flight is tracked against the number in your booking and the driver is held accordingly, because one coordinator controls both. Separately booked drivers behave differently, since they may have no visibility of your actual landing time. If you have arranged your own transport, give that supplier your flight number and confirm their waiting policy in writing beforehand.
Can the greeter take me to a driver I booked myself?
Yes. The greeter escorts you to an agreed meeting point in the arrivals hall and completes the handover to any driver, including one you arranged separately or one sent by your hotel. Give us the driver’s name and phone number in advance so contact can be made directly. Without those details the handover depends on you spotting a sign in a crowded hall.
Do you arrange child seats for the transfer?
Child seats are fitted to the vehicle, so they are requested with the transfer rather than with the greeter. Give us the age and weight of each child at booking and the correct seat is installed before the car reaches the airport. Requesting it on arrival rarely works, because the vehicle is already loaded and on its way, and improvising at the kerb is not something we are willing to do.
Can you handle a transfer to Ubud or the north coast?
Yes, and the further the destination the more the vehicle choice matters, particularly with children, older passengers or a lot of luggage. Longer journeys are more comfortable when a rest stop is planned into the route rather than added on impulse. Tell us the full address at booking so the driver is briefed on the destination, not just the region, and the timing is planned realistically.
